Privacy policy

WHO HOLDS IT

Associate Payroll Services, LLC, trading as Softliving Co., 221 Bolivar Street, Jefferson City, MO 65101, is responsible for everything described here. There is no separate department for this. The same person who runs your payroll answers questions about the data that payroll creates, on 347-517-5512 or in writing to the address above.

AN ENQUIRY

The form on this site asks for a business name, your name, an email address, an optional telephone number, a rough headcount and whatever you choose to write in the message. That is the whole of it. There is no account to create, no mailing list, and no field asking for anything we do not need in order to answer you.

If nothing comes of the enquiry the record is deleted after twelve months. We do not keep a list of businesses that said no in order to write to them again.

A CLIENT FILE

Once we are working for you the file is a different thing and it is worth describing plainly. It holds the names, addresses, social security numbers, pay rates and hours of the people you employ, because none of those can be left out of a payroll filing. It holds your bank and card statements, your ledger, and the filings themselves.

That information is used to run payroll, to file, to close the books and to build the forecast. It is not used for anything else. It is never sold, never rented, never shared for advertising, and it has never been passed to a third party for any commercial purpose.

WHO ELSE SEES IT

The Internal Revenue Service and the Missouri Department of Revenue receive what the filings require. The Missouri Department of Labor receives the quarterly contribution report. Your bank sees a payment instruction if you have asked us to prepare one. Our email provider handles the message in the ordinary course of running email. That is the complete list.

HOW LONG IT STAYS

Payroll records are kept for the period federal and Missouri law require, which is longer than we would otherwise choose and is not something we can shorten on request. Ledgers and closing papers follow the same rule. Server logs rotate out after thirty days and are not backed up.

WHAT YOU CAN ASK FOR

A copy of what we hold on you, a correction where something is wrong, and deletion of anything no filing or retention rule obliges us to keep. None of that costs anything and you do not have to explain why you are asking. An employee of a client who wants to see their own payroll record should ask their employer first, because the record belongs to the employer and we will not go around them.

Changes. If this policy changes in a way that affects you, the version number and the date at the top change with it. We do not rewrite the text underneath a date that stays the same.
